Last updated: 12 October 2026

CopperBear Field Engineering is operated by Alan Robertson as a sole trader. This notice explains how I use personal information when you contact me through this website or book a business discussion.

Who controls your information?

Alan Robertson trading as CopperBear Field Engineering is the data controller for business enquiries. Contact: alan@copperbear.co.uk.

What I collect

When you send an enquiry, I collect your name, email address, area of interest and anything you choose to include in your message. When you book a meeting or correspond by email, I may also receive scheduling information, your organisation and relevant project details.

Why I use it and my legal basis

I use these details to reply, assess whether CopperBear can help, arrange conversations and manage relevant follow-up. My lawful basis is generally legitimate interests in responding to business enquiries, or taking steps at your request before entering into a contract. If you become a customer, some information will also be used to deliver our agreement and meet legal or accounting obligations.

Providing your name and email through the form is necessary if you want a reply, but you are not legally required to send an enquiry. Submitting an enquiry does not subscribe you to marketing emails.

Who receives it

Website and enquiry data are processed using Netlify's hosting and forms services. Messages may also pass through my business email provider. If you choose to book a call, you will be directed to Calendly, which processes booking information under its own terms and privacy notice. I do not sell enquiry information.

Processing outside the UK

Some technology providers may process information outside the UK. You can contact me for further information about the services used and the applicable international-transfer arrangements.

How long I keep information

Enquiries that do not become projects are normally kept for up to 12 months after the last meaningful contact, then deleted unless there is a legitimate reason to keep them longer. Customer, invoice or contract-related records may need to be retained for longer to meet legal and business requirements.

Your rights

Depending on the circumstances, you can ask to access, correct, erase or restrict use of your data, or object to processing. You may also have a right to data portability. Send any request to alan@copperbear.co.uk. I will respond in line with applicable UK data protection requirements.

You can complain to the Information Commissioner's Office if you are unhappy with how your data is handled. I do not use information submitted through this enquiry form for solely automated decisions that have legal or similarly significant effects.
